Strategic Delegation Framework

  • Task Audit: Strategic, Skilled, Administrative, Repetitive

  • Value Assessment: ROI on personal involvement

  • Automation vs Human Delegation

  • Prioritize Tasks: Frequency, frustration, consistency, impact

  • Measure Success: Time savings, quality, stress reduction, growth

Exercise: Task Audit

Take 2 minutes and write down everything you did yesterday between 9 AM and 12 PM. Be specific.

Now, using our four categories, label each task: Strategic, Skilled, Administrative, or Repetitive.

Look at your Administrative and Repetitive tasks. Circle the ones you do at least twice per week that follows a consistent process. These are your immediate delegation/automation candidates.

Now choose one repetitive task from your list—This is going to be your first AI automation project.

  • Administrative Tasks Perfect for AI:

    • Email drafting and response suggestions

    • Calendar management and scheduling coordination

    • Basic customer inquiry responses

    • Data entry and organization

    • Report generation from existing data

    • Social media content scheduling

    Skilled Tasks AI Can Augment:

    • Research and information synthesis

    • Content creation with your voice and brand

    • Analysis and pattern recognition in business data

    • Customer segmentation and targeting

    • Competitive intelligence gathering

  • Example: Writing follow-up emails:

    1. Review prospect's initial inquiry

    2. Check what services they expressed interest in

    3. Craft personalized opening

    4. Include relevant information about services

    5. Add appropriate call-to-action

    6. Proofread and send

  • What information does someone (or an AI) need to complete this task successfully?

    • What data inputs are required?

    • What knowledge about your business is essential?

    • What examples or templates would be helpful?

    • What are your quality standards?

  • How will you know if the AI version is working well?

    • What would 'good enough' look like?

    • What mistakes would be unacceptable?

    • How would you measure time savings?

    • What feedback mechanisms would you need?

  • Based on what we've learned today, which approach would work best for this task:

    • ChatGPT Project with custom instructions?

    • Relevance AI agent with workflow automation?

    • Hybrid approach with AI assistance and human review?

    1. Is the task repetitive & time-hungry?

    2. Does it rely on structured data (CRM, sheet, form)?

    3. Is 90 % accuracy OK? (Think confirmations, not contracts.)

    4. Can success be measured in minutes saved or dollars earned?

3-4 YES answers → perfect pilot task (ex: compiling bid-list contacts).
≤2 YES → leave for later or keep human-led.
